Best way to stay on top of email?

Reply right away! Or use the whiteboard as a reminder!

Top five applications or programs?

1)** Google Calendar** – Being a video production firm, we are always scheduling filming, meetings, video deadlines etc. We need to use our calendar to ensure we have enough time to edit, stay on task and get our work to our clients ahead of schedule!

2) Adobe Premiere / After Effects – Although my focus isnʼt editing and graphics, this program is still crucial to the success of our business.

3) Dropbox – File sharing has made our job much easier. The size of files that we can transfer nowadays has saved us time and money!

4) Vimeo – A professional video hosting website is a great tool for us to connect with our clients in the post production stage. We post the videos we are in the process of working on, and our clients can view / make revisions to them in a secure environment. Vimeo is also a great site to find video inspiration!

5) Gmail – What would we do without it. Every business relies on email – so does ours!

What is your best time-saving trick?

File management and organization within Dropbox and our harddrives. Being organized is the key to saving time and our file naming/management always makes it quick to track down old documents and folders.

Favourite productivity tool?

The Whiteboard – this keeps all our thoughts and ongoing projects in front of our faces, for the lack of a better word. Helps keep us on the ball and gives us something to work towards.

One non-tech thing you can't live without?

Lunch :)

Structure of your typical day, how do you divide your time?

Our days tend to be very inconsistent, depending on what we are working on (inside the office or on location), but we have many methods of staying on task.

A typical day in the office starts with a meeting to discuss what it is we need to complete that day. We form a checklist more or less and make sure that we are advancing throughout the checklist and using our time wisely.

Time for a lunch break – which often takes place at Vinnyʼs (Vincenzos).

Once we are rejuvenated and back at work we try and see what jobs we can wrap up before the end of the day. It is always nice to get a full project complete, even though we are constantly working on multiple at the same time.

Then we say our goodbyes, while we discuss tomorrowʼs agenda.

Who would you like to see featured on Ways We Work?

As a huge hockey fan, and a proud Canadian, I would like to see Sidney Crosby featured on Ways We Work. Aside from hockey, I think Mark Zuckerberg would be a great person to feature on this blog. Iʼm sure his day-to-day is very interesting.
